How to Log In to Timecloud

Timecloud uses a single sign-in page for both managers and employees. Enter your email address to get started, and the page will show you the right sign-in options for your company.

Signing In on the Web

  1. Navigate to your Timecloud login page.
  2. Enter your email address.
  3. The page checks your email and shows you the sign-in options available for your company (see below).

Password or PIN

If a Password/Pin field appears below your email:

  • Managers: type your Timecloud password and click Sign In.
  • Employees: type your 4-digit PIN (provided by your manager) and click Sign In.

The page automatically detects whether you are entering a password or a PIN based on what you type.

Tip: Click the eye icon next to the field to show or hide what you have typed.

Continue as Manager or Continue as Employee

If two buttons appear after entering your email:

  • Continue as Manager - redirects you to your company's sign-in provider. Your email is pre-filled.
  • Continue as Employee - reveals a Password/Pin field on the same page. Enter your 4-digit PIN and click Login.

Tip: If you edit your email after choosing an option, both buttons reappear so you can pick again.

After Signing In

  • Managers land on the Dashboard.
  • Employees land on the Attendance page.
  • If you were trying to access a specific page before being redirected to login, you will be taken back to that page automatically.

Two-Step Verification

If your company requires two-step verification, you will be asked for a second form of identification after entering your password. This adds an extra layer of security to your account. Two-step verification works on both the web app and the mobile app.

First-Time Setup

The first time you sign in after two-step verification is enabled for your company, you will be asked to choose a verification method:

  • Email me a code - A 6-digit code is sent to your email each time you sign in.
  • Use an authenticator app - Use an app like Google Authenticator, Microsoft Authenticator, or 1Password to generate codes.

Select your preferred method to begin setup.

Setting Up Email Codes

  1. Choose Email me a code.
  2. A verification code is sent to your email. Check your inbox.
  3. Enter the 6-digit code and click Verify.
  4. You are signed in.

Setting Up an Authenticator App

  1. Choose Use an authenticator app.
  2. A verification code is first sent to your email to confirm your identity. Enter that code and click Verify.
  3. A QR code appears on screen. Open your authenticator app and scan it.
    • If you cannot scan the QR code, click the copy icon next to the setup key and paste it into your app manually.
  4. Enter the 6-digit code shown in your authenticator app and click Verify.
  5. You are signed in.

On the mobile app: Instead of a QR code, you will see an Open authenticator app button that launches your authenticator directly on your phone. You can also copy the setup key, or tap Show QR code for another device to scan from a second device.

Signing In with Two-Step Verification

Once set up, each time you sign in with your password you will be prompted for a verification code.

  • Email: A code is sent to your email automatically. Enter it and click Verify. The code expires in 10 minutes.
  • Authenticator app: Open your app and enter the current 6-digit code, then click Verify.

Tip: If you have both methods set up, you can switch between them using the link on the verification screen (e.g. Email me a code instead or Use my authenticator app).

Trust This Device

Tick the Trust this device for 30 days checkbox before verifying your code to skip two-step verification on this browser or device for 30 days.

Backup Codes

If you have saved backup codes, you can use one instead of a verification code:

  1. On the verification screen, click Use a backup code.
  2. Enter one of your backup codes and click Verify.
  3. Each backup code works once. You will see how many you have left after signing in.

Tip: If you are running low on backup codes, ask your administrator to reset your two-step verification so you can set it up again.

Resending a Code

If you chose email verification and the code has not arrived:

  • Click Resend code on the verification screen.
  • Check your spam or junk folder.

Going Back

  • Click Back to sign in at any time during verification to return to the password form. Your password is kept so you do not need to retype it.
  • During first-time setup, click Choose a different method to go back and pick the other option.

Signing In on the Mobile App

The Timecloud mobile app follows the same email-first approach on the Manager tab.

  1. Open the app and select the Manager tab.
  2. Enter your email address.
  3. The app checks your email and shows the right option for your company:
    • Password field appears: Type your Timecloud password and tap Sign in.
    • Sign In as Manager button appears: Tap the button to complete sign-in in the browser that opens. Your email is pre-filled.

Tips:

  • Tap the eye icon to show or hide your password.
  • Tick Remember me for 30 days before signing in to stay logged in longer.
  • If you forget your Timecloud password, tap Forgot password? below the password field. Enter your email, tap Send reset link, and check your inbox. The link opens the web app where you can set a new password, then come back to the mobile app and sign in.
  • If your company requires two-step verification, the same verification steps apply after entering your password. See Two-Step Verification above for details.

For employee login on the mobile app, select the Employee tab, enter your email and 4-digit PIN, then tap Sign In.

Multiple Companies

If your email is linked to more than one company, a Choose a company step appears after signing in. Select the company you want to access.

Click Back to return to the sign-in form if you need to change your email.

Forgot Your Password

If you sign in with a Timecloud password and have forgotten it:

  1. On the sign-in page, enter your email so the Password/Pin field appears.
  2. Click Forgot your password? below the password field.
  3. Enter your email address and click Send reset link.
  4. Check your inbox for an email with a reset link. The link expires in 1 hour.
  5. Click the link to open the Reset password page.
  6. Choose a new password that meets the requirements shown on screen:
    • At least 10 characters
    • A lowercase letter
    • An uppercase letter
    • A number
  7. Confirm your new password and click Reset password.

Tips:

  • If you do not receive the email, check your spam folder.
  • If the reset link has expired, click Request a new link to start again.
  • Each reset link can only be used once.

On the mobile app: If you sign in with a Timecloud password, tap Forgot password? below the password field. Enter your email, tap Send reset link, and follow the link in your inbox to set a new password on the web. Then return to the app and sign in.

Sign in with Microsoft

If your company uses Microsoft (Entra / Azure AD), you can sign in with your Microsoft work account instead of a Timecloud password. This option is available on both the web app and the mobile app.

On the Web

  1. On the login page, click Sign in with Microsoft (below the email/password form, under the "or" divider).
  2. You will be redirected to Microsoft to authenticate.
  3. Sign in with your Microsoft work account (the same account you use for Outlook, Teams, etc.).
  4. After Microsoft confirms your identity, you will be redirected back to Timecloud and signed in automatically.

On the Mobile App

  1. Open the Timecloud mobile app and select the Manager tab.
  2. Below the email and password fields, tap Sign in with Microsoft (under the "or" divider).
  3. An in-app browser opens showing the Microsoft account picker - select or sign in with your work account.
  4. After Microsoft confirms your identity, you are returned to the app and signed in automatically.

Tips:

  • If you type your email address before clicking or tapping Sign in with Microsoft, it will be pre-filled at the Microsoft sign-in screen.
  • Sign in with Microsoft is always visible on the login page. If your company has not been set up for it, you will see an error message after attempting to sign in.
  • You do not need a separate Timecloud password when using this option.
  • On the mobile app, tick Remember me for 30 days before tapping the button to stay logged in longer.

What if something goes wrong?

On the web app:

Message

What to do

"Microsoft sign-in was cancelled. Please try again."

You closed or declined the Microsoft sign-in prompt. Click Sign in with Microsoft again.

"Microsoft sign-in took too long. Please try again."

The sign-in session expired. Click Sign in with Microsoft to start again.

"Too many sign-in attempts. Please wait a few minutes and try again."

You have made too many attempts in a short time. Wait a few minutes, then try again.

"We couldn't sign you in with Microsoft. If this keeps happening, contact your company administrator."

Something unexpected happened. If it keeps occurring, ask your company admin to check your account.

On the mobile app:

  • If sign-in is cancelled, nothing happens and you stay on the login screen.
  • For any other issue the app shows: "We couldn't sign you in with Microsoft. If this keeps happening, contact your administrator." - try again or contact your company admin.

Employee Login

Employees sign in on the same page as managers. There is no longer a separate employee login page.

  1. Navigate to the Timecloud login page.
  2. Enter your email address.
  3. Depending on your company, either a Password/Pin field appears directly, or you click Continue as Employee first.
  4. Enter your 4-digit PIN (provided by your manager).
  5. Click Sign In (or Login).

Tip: If you don't know your PIN, ask your manager to check or reset it from your employee profile under the User Access tab.

Note: If you have an old bookmark or link to the previous employee login page, it will automatically redirect you to the new sign-in page.

Troubleshooting

  • "Invalid email or password" / "Incorrect email or PIN." - Double-check your email and password or PIN. PINs are exactly 4 digits.
  • Forgot your password (managers)? - Click Forgot your password? below the password field to reset it via email.
  • Microsoft sign-in not working? - Make sure your company has been set up for Microsoft sign-in. Contact your company admin if you are unsure.
  • Two-step verification code not arriving? - Check your spam folder. Click Resend code to send a new one. If problems persist, contact your company admin.
  • Locked out of two-step verification? - If you cannot access your email or authenticator app, contact your company admin to reset your two-step verification setup.
  • Reset link expired? - Reset links expire after 1 hour and work only once. Request a new one from the Forgot password page.
  • Can't log in at all? - Contact your company admin to verify your account is active.
  • Old employee login link not working? - The old employee login page now redirects to the main sign-in page. Use the main login page address instead.
