How to Select Employees for Reports

The Employees panel on the Reports page lets you choose exactly which employees are included in your report. By default, everyone is selected — but you can search, select, or deselect individuals as needed.

Where to Find the Employees Panel

  • On the Reports page, look at the bottom of the left column, below the Filters card.

  • The panel shows a searchable, scrollable list of your active employees.


Understanding the Employee Counter

  • At the top of the panel, a counter displays selected / total (e.g. 12 / 45).

  • This tells you how many employees are currently checked versus the total available.


How to Select or Deselect Employees

  1. By default, all employees are selected. You only need to make changes if you want a specific subset.

  2. To deselect an employee, uncheck the box next to their name.

  3. To select all, use the select all checkbox at the top of the list.

  4. To deselect all, uncheck the select-all checkbox.


Searching for Employees

  • Use the search bar at the top of the Employees panel.

  • Type a name to quickly find a specific person.

  • The list filters in real time as you type.


Sorting the Employee List

  • Click on the First Name or Last Name column header to sort.

  • If your organisation uses User Groups, a User Groups column also appears.


How Filters Affect Employee Selection

  • When you apply Filters (e.g. User Groups, Company Role, Contract Type), the employee list automatically updates.

  • Only employees matching your filter criteria will be checked.

  • You can still manually adjust the selection after filters are applied.


Including Archived Employees

  • To include former or archived employees in your report, toggle on Include Archived Employees at the top of the Reports panel (right column).

  • This does not add archived employees to the on-screen list — it tells the report to include their data in the download.


Quick Tips

  • Start with filters to narrow down the list, then fine-tune with manual selection.

  • Use the counter to verify how many employees will be included before downloading.

  • The search bar is the fastest way to find a specific employee in a large list.
