How to Set Role Requirements on a Shift

If your company uses Roles, you can define how many people of each role are needed per shift. This helps ensure the right mix of staff on every roster.

Steps

  1. Open a shift and navigate to the Role Requirements tab.

  2. Toggle Role Requirement on.

  3. For each role, use the + and buttons to set the required count.

  4. Optionally, toggle Configure by day on for a role to set different requirements per weekday (e.g. more staff on weekends).

  5. Click Save.

How It Works

  • Role requirements appear as targets on the roster, helping managers see at a glance whether a shift is fully staffed.

  • Use Configure by day when demand varies — for example, 2 baristas on weekdays but 4 on Saturdays.

  • Roles must be set up in your company settings before they appear here.

 

Setting a Custom Cycle Length

Use a custom cycle when your staffing pattern repeats over something other than a standard week — for example, a 14-day rotation or a 4-day roster.

  1. Open a shift and go to the Role tab.
  2. Toggle Role Requirement on.
  3. Expand the role you want to configure.
  4. Toggle Configure by Day on.
  5. Use the + and buttons next to Days per cycle to set your cycle length (1–28 days).
  6. Once the cycle is not 7 days, a Cycle start date field appears — select the date your cycle begins.
  7. Set the required count for each day in the cycle (Day 1, Day 2, etc.).
  8. Click Save.

Example: 14-Day Mining Rotation

A mine site runs a 14-day rotation (7 days on, 7 days off) and needs 3 Operators on working days and 0 on off days:

  1. Open the shift → Role tab → toggle Role Requirement on.
  2. Expand Operator.
  3. Toggle Configure by Day on.
  4. Set Days per cycle to 14.
  5. Set the Cycle start date to the first day of the rotation (e.g. the next Monday the rotation starts).
  6. Set Day 1–7 to 3 and Day 8–14 to 0.
  7. Click Save.

Timecloud will automatically repeat this pattern on a rolling basis from the start date you chose.

How It Works

  • Use a custom cycle length when your staffing repeats on a non-weekly pattern (e.g. fortnightly, 4-on-4-off, 10-day swings).
  • The cycle repeats indefinitely from the Cycle start date — no manual resetting needed.
  • Roles must be set up in your company settings before they appear here.

Good to Know

  • When the cycle is set to exactly 7 days, days are labelled Monday–Sunday (standard week view).
  • For any other cycle length, days are labelled Day 1, Day 2, etc.
  • The maximum cycle length is 28 days.
  • Changing the cycle length preserves existing day counts where possible — new days are filled with the last day's value.
