# How to Set Up Payroll Configuration

## The Payroll Configuration step controls how your award interacts with payroll exports — including pay periods, overtime thresholds, rounding rules, and export formats.

**Where to Find It**

1. Open **Awards** from the main navigation.
2. Select or create an award, then open the **Payroll Configuration** step (Step 3 in the wizard).

**Export Format Settings**

These settings control how calculated values appear in your payroll export. They apply across all employment types.

### **Minimum Engagement Export Format**

- **Included in Ordinary Hours Line** — minimum engagement hours are combined with ordinary hours in the export
- **Separate Minimum Engagement Line** — minimum engagement appears as its own line item

### **Penalty Export Format**

- **Penalty Line Only** — penalties export as standalone line items
- **Ordinary Hours Line & Penalty Line** — penalties export alongside the ordinary hours line

### **Keep Paid Breaks As Ordinary Time**

This toggle controls whether paid break hours stay as ordinary time or follow the pay rate at the time the break was taken.

- **On** — paid break hours are always classified as ordinary time, even when the break falls within an overtime period. Paid breaks still count toward the ordinary-hour thresholds that trigger overtime, but the break itself is never paid at an overtime rate. Penalty rates may still apply.
- **Off** (default) — paid breaks follow the pay rate applicable when the break was taken. If a paid break falls during overtime, it is paid at the overtime rate.

> **When to use:** Turn this on when your award or enterprise agreement requires paid breaks to remain at the ordinary rate regardless of when they occur during a shift.

### **Paid Break Export Format**

- **Ordinary Line Only** — paid breaks are included in the ordinary hours line
- **Separate Break Line** — paid breaks appear as their own line item

**Apply Settings Across All Employment Types**

Use the **Apply Settings Across All Employment Types** toggle to decide whether payroll configuration applies uniformly or per employment type.

- **Toggle ON** — the same payroll period, overtime threshold, and rounding rules apply to every employment type
- **Toggle OFF** — configure each employment type individually by selecting it from the **Select Employment Type** panel

> **Note:** Turning this toggle on will overwrite any per-type configurations with the current settings. A confirmation prompt will appear before applying.

**Per-Employment-Type Settings**

### **Payroll Period**

Select the payroll period from the dropdown. Options typically include **Weekly**, **Fortnightly**, and **Monthly**.

### **Overtime Threshold**

Set the **Overtime Threshold** (in hours) for the selected payroll period. Hours worked beyond this threshold in a period are treated as roster/period overtime.

### **Rounding**

Enable rounding with the toggle, then configure:

- **Round In Time** — toggle on to round clock-in times 
    - **Round In to Nearest** — the rounding interval (in minutes)
    - **In Rounding Threshold** — how many minutes past the interval before rounding up
- **Round Out Time** — toggle on to round clock-out times 
    - **Round Out to Nearest** — the rounding interval (in minutes)
    - **Out Rounding Threshold** — how many minutes past the interval before rounding up
- **Skip rounding for consecutive segment times** — when enabled, rounding only applies to the first clock-in and last clock-out of consecutive work segments, not to breaks in between

**Tips**

- **Export formats** affect how your payroll team sees calculated values. Confirm with your payroll provider which format they prefer.
- **Keep Paid Breaks As Ordinary Time** is useful when your award requires paid breaks to always be paid at the ordinary rate — even when the break falls during an overtime period. The break still counts toward the hours that open overtime, but it is not allocated an overtime multiplier.
- **Apply to all** is ideal when all employment types share the same payroll cycle and rounding rules.
- **Rounding thresholds** help manage minor clock-in/out variances without manually adjusting timesheets.
