How to Use Client Job Approval

Client Job Approval lets you get sign-off on worked hours from a client or internal approver, directly from the Timecloud mobile app.

Overview

Client Job Approval is used when your company requires formal approval of worked hours — either from an internal manager or from an external client. Approval reports capture which check-in pairs were worked, any disputes, comments, and a digital signature.


Selecting Check-In Pairs for Approval

  • Open the Client Job Approval section from the app menu.

  • Select the check-in pairs (shifts) you want to include in the approval report.

  • You can select individual entries or multiple entries at once.


Internal Approval Workflow

For internal approvals:

  • Select the check-in pairs and tap Submit for Internal Approval.

  • An internal reviewer (e.g. your manager) will review the hours.

  • Once reviewed, the approver signs off with a digital signature.


Client Approval Workflow

For client-facing approvals:

  • Select the check-in pairs and tap Submit for Client Approval.

  • Hand your device to the client so they can review the entries.

  • The client can approve or dispute individual entries.

  • Once satisfied, the client provides a digital signature to complete the approval.


Disputing and Approving Entries

  • During review, each check-in entry has a toggle:

    • Approve — confirms the hours are correct.

    • Dispute — flags the entry for review or correction.

  • Disputed entries can include a comment explaining the issue.


Adding Comments to Approvals

  • Tap the comments field on any entry to add a note.

  • Comments are saved with the approval report and visible in the history.


Digital Signature Sign-Off

  • At the end of the approval process, the approver is prompted to provide a digital signature.

  • Use your finger or stylus to sign on the screen.

  • Tap Confirm to save the signature with the report.


Saving and Managing Drafts

  • If you are not ready to submit, tap Save as Draft.

  • Drafts are saved locally and can be resumed later.

  • Access your drafts from the Approval Reports section.


Viewing Approval Reports

  • Go to the Approval Reports section to see all submitted reports.

  • Use search and filter options to find specific reports by date, employee, or status.
