How to Use Forms on Mobile
Forms in the Timecloud mobile app let you complete and submit digital forms — whether they are triggered automatically or filled in manually.
Overview
Forms are digital documents that your company has set up in Timecloud. They can be used for safety checklists, induction forms, incident reports, and more.
Browsing Form Groups

Open the Forms section from the app menu.

Forms are organised into groups (e.g. "Safety", "HR", "Operations").

Tap a group to see the forms available within it.

Ungrouped forms appear in a separate section.
Completing a Form

Tap a form to open it.

Work through each field — common field types include:

Text — type a response

Number — enter a numeric value

Date — select a date

Select / Dropdown — choose from a list

Yes/No (Boolean) — toggle on or off

File upload — attach a photo or document
-
Signature — sign with your finger or stylus

Required vs Optional Fields
-
Required fields are marked with an asterisk (*).

You must complete all required fields before you can submit.

Optional fields can be left blank.
File and Photo Attachments

Tap the attachment field to upload a file.

Choose to take a photo with your camera or select a file from your device.

Attached files are saved with the form submission.
Signature and Freehand Drawing Fields

Tap the signature field to open the drawing pad.

Use your finger or stylus to sign or draw.

Tap Done to save your input.
Viewing Past Submissions

Go to the Submissions section within Forms.

Here you can review all forms you have previously submitted.

Tap a submission to see the full details and any attached files.
Triggered Forms
Some forms appear automatically based on company rules:

A form may be triggered at clock-in or clock-out based on your shift, role, or job item.

When triggered, the form opens automatically — you must complete and submit it before proceeding.
Offline Form Submissions

If you have no internet connection, you can still complete and submit forms.

The form is saved locally on your device.

Once you are back online, the form is automatically synced to the server.
