How to Use the Lifecycle Review

The Lifecycle Review gives admins a single screen to monitor every employee's onboarding and offboarding progress — who's preboarding, who's live, who's leaving, and where the bottlenecks are.

Where to Find It

  • Go to Employees in the main menu.
  • Click the Lifecycle tab in the organisation view.
What You'll See

Summary Widgets

Five cards at the top give you an at-a-glance count:

Employee Table

Each row shows:

  • User — employee name and avatar
  • Profile Type — the employee profile template assigned (e.g. Default, Manager)
  • Preboard — task completion fraction (e.g. 4/5)
  • Start — employment start date
  • Onboard — onboarding task fraction
  • Resignation — resignation date (if applicable)
  • Offboard — offboarding task fraction
  • Status — current lifecycle stage badge

Fraction columns show how many tasks have been completed out of the total (e.g. "4/5" means 4 of 5 tasks are done). Green means complete, amber means in progress.

Tip: Click any column header to sort the table — click again to reverse the order.

Filtering & Searching
  • Search — type a name into the search field to find a specific employee.
  • Profile Type dropdown — filter by employee profile template.
  • Status dropdown — filter by lifecycle stage.
  • Clear filters — click the filter icon with a line through it to reset all filters at once.

Your filters are remembered between visits — if you leave and come back, the same view is restored.

Actions

Click the three-dot menu (⋮) on any row to see available actions:

  • View profile — opens the employee's full lifecycle timeline in their profile.
  • Send/Resend package — triggers the preboarding package email to the employee.
  • Send preboarding forms — emails any pending preboarding form links to the employee.
  • Send onboarding forms — emails any pending onboarding form links to the employee.
  • Send offboarding forms — emails any pending offboarding form links to the employee.
  • Send post-termination forms — emails any pending post-termination form links to the employee.

Note: The "Send forms" options only appear when the employee has incomplete user-task forms configured for that phase.

How Send Forms Works

  1. Click the three-dot menu (⋮) on an employee row.
  2. Select the relevant Send [phase] forms option (e.g. Send preboarding forms).
  3. A confirmation dialog appears — click Confirm to proceed.
  4. Timecloud sends the employee an email containing personalised links to each pending form.
  5. Once sent, a reminder email is automatically scheduled if the forms are not completed within the configured reminder threshold.

The employee receives an email with a unique link for each form. Once they complete a form, it's marked as done on the lifecycle timeline. If a form has already been submitted, the employee will see a friendly "Already Complete" message if they try to open the link again.

Exporting Data

Click Export CSV to download the current filtered view as a spreadsheet. The export respects your active filters and sort order — if you're viewing only preboarding employees, only those rows will appear in the file.

Pagination

Use the pagination controls at the bottom to navigate through large lists. You can choose to display 25, 50, or 100 rows per page.
