How to Use the Realtime Overview Dashboard

The Realtime Overview is your home dashboard — a live snapshot of your team's status, activity, and schedule for the day. It's the first thing you see when you log in.

Navigating Between Dashboards

At the top of the page, click the dashboard title (e.g. "Realtime Overview") or the dropdown arrow beside it to switch between dashboards:

  • Realtime Overview — Live team status (this page)
  • Attendance Dashboard — Detailed attendance data
  • Job Dashboard — Job costing breakdown (if enabled)
  • HR Dashboard — HR metrics (if enabled)

Filtering Employees

A filter bar sits at the top of the employee list. Use it to narrow down which employees are shown across all widgets on the page:

  • Employee Search — Type a name to find a specific employee
  • Department / Group Filter — Select a department or group to filter by
  • Shift Filter — Select one or more shifts to view only employees assigned to those shifts. Each shift option shows its duration in hours (e.g. "Morning (8.5h)") so you can quickly identify shifts by length

On the right side of the filter bar, you'll see a clocked-in count displayed as X / Y — where X is the number of employees currently clocked in and Y is the total employee count matching your filters.

Employee List (Left Side)

The main section on the left shows a live employee table with:

  • Status Indicator — A coloured dot showing each employee's current status (clocked in, clocked out, on break, etc.)
  • Clock Source — An icon showing how the employee clocked in (e.g. mobile, kiosk, web)
  • Name, Department, Job — Configurable columns you can customise

Customising Columns

  • Click the + button in the table header to add a column
  • Click the three-dot menu (⋮) on any column header to edit or remove it
  • Drag and drop column headers to reorder them

Exporting to CSV

  • Click the download icon in the filter bar to export the current employee table as a CSV file
  • The export includes all visible columns and respects your active filters — only the employees currently shown are included
  • The file is named with today's date (e.g. "RealtimeOverview_2026-05-14.csv")

Viewing Employee Details

  • Click the info icon next to any employee to open a summary panel showing their email, shift, group, payroll code, and more
  • From the summary panel, click "Edit Employee" to go to their full profile

Quick Actions (Right Side)

The Quick Actions widget highlights things that need your attention today. Use the left and right arrows to browse through action cards. Navigation loops continuously — when you reach the last card, pressing next takes you back to the first.

If you don't need the Quick Actions widget, click the close button (✕) in the top-right corner to dismiss it. When dismissed, the remaining widgets (Team Activity, Team Arrival, Map) expand to fill the freed-up space. Quick Actions will reappear next time you load the dashboard.

Missing Roster Roles

  • Shows shifts that have unfilled roles for today
  • Displays the shift name with its time range (e.g. "Morning - 6:00 AM–2:00 PM") and role badges with counts (e.g. "2 Barista", "1 Manager")
  • Click a role badge to go directly to the Roster page with that shift open

Pending Leave Requests

  • Shows leave requests submitted for today that haven't been approved yet
  • Each card title shows the leave type followed by "Today" (e.g. "Annual Leave Today", "Sick Leave Today") so you can identify the request type at a glance
  • Displays the employee name below the title
  • Click "Approve" or "Decline" right from the dashboard

Employee Birthdays

  • Highlights any team member whose birthday is today with the message "It's [Name]'s Birthday Today!"
  • Shows their photo or initials
  • Click their avatar to go to their employee profile

If there are no actions, the widget displays "No actions required".

What Your Team Is Working On

This doughnut chart shows a breakdown of what your clocked-in employees are currently working on.

  • Click the dropdown in the widget title to switch between grouping options:
    • Shift — Groups employees by their current shift name (e.g. "Morning", "Afternoon")
    • Job layers — Groups employees by job category (e.g. Location, Role, Task). Available when Job Costing is enabled
  • The Shift option is selected by default. If your company has Job Costing enabled, the first job layer is used as the default instead
  • The chart only includes employees who are currently clocked in and match your active filters
  • The chart legend position adjusts automatically based on widget size for the best readability

When Your Team Arrived

This horizontal bar chart shows how your team's arrivals break down into four categories:

  • Early — Clocked in before their shift start
  • On Time — Clocked in within the expected window
  • Late — Clocked in after their shift started
  • Absent — Shift has started but the employee hasn't clocked in yet

Click the chart to drill down and see the individual employees in each category.

Where Your Team Is Working (Map)

The Map widget shows the real-time locations of your clocked-in team members on a map.

  • Click the open icon in the top-right corner to open the full map view
  • The map respects your active filters — only filtered employees are shown
  • If your account does not have access to the Map feature, you'll see an info icon with a message to contact support

Responsive Layout

The dashboard automatically adjusts based on your screen size:

  • Wide screens (1680px+) — Full layout with the employee list on the left and widgets stacked on the right
  • Medium screens (1024–1679px) — Compact layout with smaller widget panels
  • Mobile / small screens — Stacked layout optimised for smaller devices

Tips

  • Filters sync across widgets — When you filter by department or shift, the employee list, team activity chart, arrival chart, and map all update together
  • Multi-select shifts — Select several shifts at once to compare employees across different schedules
  • Sort the employee table — Click any column header to sort employees by that field
  • Export filtered data — Use the download button to quickly pull a CSV of your filtered employee list for reporting or sharing
  • Dismiss Quick Actions — Close the Quick Actions widget when you don't need it to give the other widgets more room
  • Quick leave approvals — Save time by approving or declining leave directly from Quick Actions instead of navigating to the Leave page
  • Fill roster gaps fast — Click a missing role badge in Quick Actions to jump straight to the roster and assign someone
  • Group by Shift — Use the Shift grouping in the Team Activity chart for a quick view of how employees are distributed across shifts, even without Job Costing enabled
