How Work End Dates Affect the Roster

When an employee has a Work End Date set on their profile, Timecloud automatically enforces it across the roster. This prevents scheduling errors by blocking assignments, locking cells, and flagging conflicts for any dates past that employee's last working day.

What Is a Work End Date?

The Work End Date is the last day an employee is available to work. It is set on the employee's profile under the Operations tab. Once set, the roster respects this date everywhere — from drag-and-drop assignments to autofill and publishing.


What You'll See on the Roster

Employee View

  • Locked cells — For dates after the employee's Work End Date where they have no shift, the cell shows a lock icon instead of the usual + button. You cannot click, drag, or drop a shift template onto a locked cell.

  • Warning icon — If a shift already exists past the Work End Date (e.g. it was created before the date was set), the cell displays an amber warning icon next to the shift name.
  • Hidden rows — If every date in the current roster period is past an employee's Work End Date and they have no shifts at all, their row is hidden entirely.
  • Filter auto-update — Employees whose entire roster period is past their Work End Date are automatically removed from the Employees filter dropdown. If they were previously selected, they are deselected.

Shift View

  • Warning icon on tiles — Shift tiles that include an employee past their Work End Date display an amber warning icon.

  • Avatar indicator — Employee avatars on shift tiles show a small warning badge when the employee is past their Work End Date.

Shift Drawer (Assignment & Invitation Tabs)

  • "Past Work End Date" chip — Employees past their Work End Date appear with a dark grey Past Work End Date label.
  • Selected chip icon — When an employee past their Work End Date is already assigned, their chip shows a warning icon with a tooltip.
  • Excluded from selection — Employees past their Work End Date are excluded from the available employee dropdown, unless they are already assigned to the shift.

How It Affects Roster Actions

Assigning Employees

  • You cannot assign an employee to a shift on a date past their Work End Date.
  • If you try, Timecloud blocks the action and shows an error.
  • Existing assignments made before the Work End Date was set remain visible but are flagged with a warning.

Publishing

  • The Publish button is disabled when any shift in the period has an employee rostered past their Work End Date.
  • You must remove the affected employee from the shift(s) before you can publish.
  • If you attempt to publish via another method, you'll see the error: "Cannot publish — one or more employees are rostered past their Work End Date."

Autofill

  • Autofill skips employees for any date past their Work End Date.
  • The employee is still filled in for dates within their working period.

Copy to Next Period

  • When copying shifts to a new period, employees whose Work End Date falls before the destination date are excluded from the copy.
  • Other employees on the same shift are copied normally.

Roster Pattern Import

  • When importing a saved roster pattern, employees are skipped for any target date past their Work End Date.
  • They may still be included for earlier dates in the same import.

How to Resolve a Work End Date Conflict

  1. Open the shift that shows the warning icon.
  2. Remove the affected employee from the shift.
  3. Assign a replacement employee if needed.
  4. The Publish button will become available again once all conflicts are resolved.

Good to Know

  • The Work End Date is inclusive — an employee can still be rostered on their Work End Date itself, but not on any date after.
  • Setting or changing a Work End Date does not automatically remove existing shifts — it flags them so you can review and update the roster.
