What Period Lock is and how to configure the locking of timesheets with a delay, allowing you to stop changes from being made once the timesheet is older than the desired period.
Introduction
Period Lock is a feature that automatically locks timesheets based on a chosen frequency and date. This prevents any changes to historical or published timesheets, eliminating the risk of manual errors and ensuring data integrity.
Configuring Period Lock
- Navigate to the 'Settings' page.
- Select 'time' in the subsection menu.
- Locate 'Period Lock' and toggle this on.
- Select the 'Locking Frequency', this determines how often a period will lock.
- Set the 'Locking Date & Time', expected behaviours are as follow:
- When "Daily" locking frequency is selected, timesheets will be automatically locked every day starting from the specified "Locking Date".
- For other frequencies (e.g., Weekly, Monthly, Fortnightly), the system uses the day of the week of the "Locking Date" as a reference. Timesheets will be automatically locked up to the most recent day of the week matching the "Locking Date".
- Locking occurs retrospectively based on the chosen frequency.
Example Configuration
If the current date is 01/06/2025(Monday) and setting Period Lock as Weekly locking at 08:00am on 01/12/2024(Sunday).
Result:
- On 06/01/2025(Monday), the weekly locking behaviour will be triggered, and the timesheet will be automatically locked until the nearest previous Sunday(05/01/2025).
- The next locking behaviour will be triggered on 13/01/2025(Monday), and the timesheet will be locked until 12/01/2025(Sunday).
