Leave Overview

Track, manage, and report on Leave in Timecloud with user applications and Admin tools.

Configuration

To enable leave functionality, it must be configured within the system. Follow these steps:

  1. Navigate to the settings page and select "Payroll."
  2. Click on "Add Exception" to create a new leave type or click the edit icon (pencil) to modify an existing leave type.
  3. Input the name, type, and payroll code (if required).
  4. Determine whether this exception should be considered within standard hours or overtime during reporting.
  5. Decide whether this exception should be visible on the mobile app by selecting "Include in Leave Applications."

Application

Once leave types are configured, users can apply for available leave via the Timecloud mobile app using the following steps:

  1. Open the Timecloud mobile app and log in with your email and PIN.
  2. Navigate to the "Leave" page located at the bottom of the screen.
  3. Tap the blue 'plus' icon to initiate a new leave application.
  4. Choose the type of leave, specify the date range, and optionally leave a comment.
  5. Submit the request and await administrative approval or rejection.
  6. For pending leave requests, adjustments can be made by tapping on them.

Manage Leave

Leave applications and management can be performed within the web app, allowing system-wide visibility and control:

  1. Leave Requests
    1. Navigate to the 'Leave' page.
    2. Pending leave requests can be accepted or declined, and historical requests can be viewed and reset via the 'History' filter.
  1. Roster
    1. Once approved, the leave will appear on the Roster, notifying administrators.
  2. Attendance
    1. Approved leave will be visible on the attendance page, providing insight into the number of hours for which an employee will be paid.
    2. Leave hours are calculated based on the expected hours set by the shift rule for that day.
    3. Shift overrides and worked hours influence the total leave hours for the day, ensuring that leave compensates for the difference in expected shift hours.

Report

Access reports containing information about exceptions and leave:

  1. Navigate to the Reports page.
  2. Several reports contain leave-related data; configure a report by clicking the three dots and check if leave can be included.
  3. Download the desired report by clicking on it.
