Roster Overview

The Roster lets you see the days to come, easily manage employees shifts, and plan ahead. The Roster can be viewed in Employee Mode or Shift Mode with optional Role Coverage Tracking.

Shift Templates

Rostering in Timecloud is done via the templates created on the shifts page. Navigate to the shifts page and ensure all shifts are created and existing shifts have Role Requirements

Employee View

  1. Navigate to Roster Page

  2. Select the dropdown menu and ensure 'Employee' mode is chosen.

  3. Filter and Select Employees

    1. Use the department and sort options across the top to view desired employees.

    2. Adjust the date range filter in the middle (Daily, Weekly, Fortnightly, Monthly, Custom). The custom range will allow you to look up specific dates using the calendar.

  4. Use the Shift Controls for efficient changes. 
    1. Utilise 'Quick Select', 'Export' (PDF), 'Autofill', and 'Clear' in the top right.

    2. Use 'Quick Select' to roster multiple employees through drag and drop or by clicking the plus icon next to the shift name to apply to multiple employees.
      1. you can click the shift a second time when using quick select to remove it before confirming the changes.
    3. Save changes upon completion.
    4. 'Export' creates a PDF of the current roster.
    5. 'Autofill' applies the shift pattern or copies the current roster to the next period.
    6. 'Clear' empties the current period's grids.
  5. Add or Edit Shifts:
    1. Click on a blank grid or the desired shift.

    2. Choose a template, leave a comment, assign a role, and select job tracking details.

    3. All information will be displayed on the employee's roster email once published.

    4. Save changes when satisfied.

  6. Publish Changes:
    1. Choose to share your rosters with all employees or specific departments using the 'Departments' filter located in the top left corner.
    2. Find the publish option in the top right corner to notify employees and update the system.

Shift View

  1. Ensure the top left corner is set to 'shift' mode.
  2. Filter and View Shifts
    1. Use Department and Shift filters to view only the desired shifts. The department filter is based on the department permissions for the template.
    2. Adjust the date range filter to view specific dates.
  3. Assign Employees and Role Requirements:
    1. Click on a desired grid to open the shift menu.
    2. Assign employees from the drop-down menu.
    3. For role requirements, these will display as a separate drop-down, attaching the respective role to the employee.
  4. Filter and Clear:
    1. Use the filter icon on the top right to identify missing requirements or toggle it off.
    2. Clear button wipes all visible shifts.

  5. Publish Changes:
    1. Choose to share your rosters with all employees or specific departments using the 'Departments' filter located in the top left corner.
    2. Find the publish option in the top right corner to notify employees and update the system.
